Master Change Facilitator

Raution Kumar Jaiswal

Certified Master Change Facilitator (MCF)

Primary role of a Master Change Facilitator (MCF) is to take lead in all the planning activities and to run the workshop. This workshop can have several purposes including the broader implementation of Change Acceleration Process (CAP) and WorkOut (WO) in the organization. MCF performs his responsibilities by coaching, mentoring and teaching the leadership, managers, supervisors and Change Facilitators in the CAP methodologies and tools. MCF plays a significant role in facilitating process for performance improvement activities or decision making process at any levels of management or involving all levels of management. In broader terms MCF’s job will have four parts:

  1. Session’s name, type (facilitated workshop/ meeting), sponsor, owner.
  2. Workshop planning: including the steps to plan a workshop
  3. Workshop meeting Report-out and Follow-up
  4. Workshop Toolbox: Application of right tools which meets the need of the session

Workshop planning includes everything that is done before the workshop session has commences. Workshop planning includes several responsibilities and some needs to be done before others to ensure there is flow in the process. Workshop planning includes:

  1. Identifying the scope
  2. Assigning the MCF
  3. Workshop sensing sessions
  4. Workshop Objectives and refined topics
  5. Facilitator’s recommendations
  6. Checklist
  7. Agenda Logistics
  8. Participant communicate expectations
  9. Prepare workshop sponsor
  10. Prep-work

Once the preparation or planning for the workshop is completed then the MCF is in a position to conduct the workshop session. Duration of the session would depend on the goal of the session and the amount of work needed by all the participants to achieve the goal. Workshop meeting will have a flow similar to that of the planning phase which includes:

  1. Kick off the session by setting the right expectation of the session
  2. Ensuring that ground rules are clearly defined along with housekeeping
  3. Define the process map and problems
  4. Brainstorm problems and solution
  5. Report Out:

a. Team report out with presentations if needed

b. Every idea is captured with a response

c. Individual team and Sponsor commitment to action items

6. Follow Up:

a. Activate follow up task mechanism

b.Track activity and results over time

Workshop planning and workshop meeting would not be effective without better understand of the tool box available to the MCF and its effective use.

There are several took and there is no specific tool for any specific issue or problem these tools are more flexible then we can assume. Therefore the success of the tools depends upon its usage by the MCF and acceptance by the participants of the session. Some of the tools are mentioned below are in two broader groups Project tools and Change Acceleration Process (CAP).
Project tools include:

  1. Brainstorming/storyboarding
  2. In-Out of frame
  3. Project Scope Contract
  4. Process Mapping SIPOC
  5. Critical Success factor
  6. Circle of Influence/Concern
  7. RAMMPP Matrix
  8. Cause and Effect Analysis
  9. Payroll Matrix

Change Acceleration Process (CAP) includes:

  1. CAP assessment
  2. Threat Vs Opportunity Matrix
  3. Three D’s Matrix
  4. More of/Less of
  5. Backward Imaging
  6. Constituents Map
  7. Resistance Analysis
  8. Stakeholder Analysis
  9. Attitude/Influence Analysis
  10. Attitude Charting
  11. Responsibility Grid
  12. Force field analysis
  13. Action Planning form
  14. Measurement Systems
  15. Monitoring Progress checklist
  16. Project Plan
  17. Systems & Structures change

MCF should ensure that the wraps up session with Plus & delta (what was good in the session and what can be done better next time). If needed or if the scope includes then some ideas can be considered on the Process Improvement tools which might a complete session of its own. I have copied a visual presentation of the complete process that Master Change Facilitator will go thought for a successful work session.
